Administrative Specialist Job Description

An administrative specialist provides administrative support and performs various tasks to ensure efficient operation of an organization or department. This role requires a high level of organizational, communication, and interpersonal skills, as well as attention to detail and the ability to multitask.

Key Responsibilities:

  • Provide administrative support to the organization or department, including answering phone calls, responding to emails, and scheduling appointments
  • Manage calendars, schedule meetings, and arrange travel for executives or other team members as needed
  • Create and maintain electronic and paper files, documents, and reports
  • Process and distribute incoming and outgoing mail and packages
  • Assist in the preparation and distribution of presentations, reports, and other materials
  • Coordinate and plan events, meetings, and conferences
  • Order and maintain office supplies and equipment
  • Support the onboarding and training of new employees
  • Respond to requests for information and perform research as needed
  • Collaborate with other departments and team members as needed
  • Perform other administrative duties as assigned


  • High school diploma or equivalent; some college coursework in business or a related field may be preferred
  • Previous experience in an administrative role is preferred, but not required
  • Strong written and verbal communication skills
  • Proficiency in basic computer skills, including Microsoft Office and database management
  • Excellent organizational and time-management skills
  • Attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Knowledge of office procedures and equipment is preferred, but not required

Physical Demands:

  • This role may require sitting or standing for long periods of time
  • May require occasional lifting of boxes or other materials

Working Conditions:

  • Work is typically performed in an office environment
  • May require occasional evening or weekend work to accommodate client schedules or deadlines
