An administrative specialist provides administrative support and performs various tasks to ensure efficient operation of an organization or department. This role requires a high level of organizational, communication, and interpersonal skills, as well as attention to detail and the ability to multitask.
Key Responsibilities:
- Provide administrative support to the organization or department, including answering phone calls, responding to emails, and scheduling appointments
- Manage calendars, schedule meetings, and arrange travel for executives or other team members as needed
- Create and maintain electronic and paper files, documents, and reports
- Process and distribute incoming and outgoing mail and packages
- Assist in the preparation and distribution of presentations, reports, and other materials
- Coordinate and plan events, meetings, and conferences
- Order and maintain office supplies and equipment
- Support the onboarding and training of new employees
- Respond to requests for information and perform research as needed
- Collaborate with other departments and team members as needed
- Perform other administrative duties as assigned
Qualifications:
- High school diploma or equivalent; some college coursework in business or a related field may be preferred
- Previous experience in an administrative role is preferred, but not required
- Strong written and verbal communication skills
- Proficiency in basic computer skills, including Microsoft Office and database management
- Excellent organizational and time-management skills
- Attention to detail and accuracy
- Ability to work independently and as part of a team
- Ability to maintain confidentiality and handle sensitive information with discretion
- Knowledge of office procedures and equipment is preferred, but not required

- May require occasional lifting of boxes or other materials
